1. Select your CRM enquiry export
Export your enquiry or lead list from your CRM (Bitrix24, Zoho, HubSpot, Salesforce, PropSpace, Kommo or similar) or from your portal leads report, as a spreadsheet, and drop it below: extra columns are fine, the tool uses what it needs and ignores the rest. Name, phone and email are optional; if your file has them, they're shown on each card so you can call or WhatsApp without digging back into your CRM. Everything is read and analysed in your browser, and your file is never uploaded.
Drag your file here, or click to choose a file
CSV or Excel (.xlsx) both work. Nothing uploads to a server: the file is read directly by your device.New to this? Download an example file to see the format, or see how to export from your CRM.
Not sure which file to choose?
You need a CSV or Excel export of your enquiry or lead list: a full list, not a single record. These routes come from each vendor's own help pages. Vendors move their menus, so treat them as a guide rather than a guarantee.
Bitrix24: CRM → Leads (or Contacts) → list view → apply filters → Settings (gear) → XLS or CSV → Run. Only the columns visible in the list are exported, so add the ones you want first.
Zoho CRM: open the Leads module → Actions → Export (or Setup → Data Administration → Export). If you're offered a character set, choose UTF-8 so Arabic names stay readable.
HubSpot: CRM → Contacts → open a view → Export (top right) → choose the file format. The download link arrives by email.
Salesforce: Reports → open your Lead report → the dropdown beside Edit → Export → Details Only → .xlsx or .csv (choose UTF-8 if asked).
Kommo: Leads → pick your pipeline or All leads → the three dots → Export. Choose Excel rather than CSV if you have Arabic text.
PropSpace: Work → Leads → pick a tab → Select All → enter the SMS verification code → Download Excel Table. The export follows the rows per page you've set, so use the largest page size.
Bayut Profolio: Reports → Leads → filter by Email, SMS, Phone or WhatsApp → Export → Excel.
Using Property Finder, Behomes, Ruby, Leadrat or another system? We couldn't confirm an export route for those, so we'd rather not guess at menu names. Ask your account manager for "an export of leads as Excel or CSV", see the full CRM export guide, or email us and we'll help you get one working export. Tip: if phone numbers lose their leading + or turn into 9.7E+11 when you open the file in Excel, export again as .xlsx or format the phone column as text first.
What information does it need?
| We look for | Typical column name | Needed? |
|---|---|---|
| Your own reference | ID, Ref, Lead ID | No, but strongly recommended, see below |
| Enquiry date | Date, Enquiry Date, Received | Yes |
| Enquiry type | Type, Enquiry Type | Yes |
| Status | Status, Stage | Yes |
| Asking price / rent | Price, Value, Rent, Amount | No, used to estimate potential fee value where available; enquiries with no value are still analysed |
| Last contact date | Last Contact, Last Spoke To Client | No, treated as "no contact recorded" if missing |
| Source | Source, Portal | No |
| Do-not-contact / consent | DNC, DNCR, Contact Preference | No, but strongly recommended: lets us exclude opted-out leads from recommendations |
| Name / phone / email | Name, Phone, Email | No, shown on each card if present, so you can act without reopening your CRM; never sent anywhere |
You'll match your own column names to these on the next screen; the exact headers don't need to match. A reference/ID column isn't required to analyse your file, but without one we can't reliably spot duplicate rows or compare a future upload against this one.
Where do I find this in my CRM?
Look for an "Export", "Reports", or "Download" option on your applicant, enquiry, or leads list. Most CRMs can produce a CSV or Excel export of this list somewhere in that area. Exact menu names and steps vary by CRM, and often by account setup or version, so we're deliberately not giving click-by-click instructions here that might be wrong for your setup. If you can't find it within a few minutes, your CRM's own support team can point you to it directly.
How can I verify this?
For anyone technical enough to check: open your browser's developer tools (F12 or Cmd+Opt+I), click the Network tab, then choose your file. You won't see your file uploaded anywhere. If product analytics is enabled, you may see a small request logging that a file was loaded and roughly how many rows, with no CRM or customer data in it. The page's code is also fully visible via "View Page Source," nothing is hidden.
2. Check we've matched your columns correctly
We've guessed which of your columns is which. Fix anything that's wrong, then continue.
These are required: we can't analyse a file without them.
Optional fields
Mapping these improves the results, but leaving any as "not available" is fine.
This filters by the enquiry's original date, not when it was last updated.
Your fee assumptions (optional, used only to illustrate potential value)
These are your own editable assumptions, not figures from your data. The resulting totals are an illustrative planning estimate, never a measurement of actual lost revenue.
Recovery queue settings (optional, controls the priority queue only, never hides anything)

Two quick questions
If this reliably found genuine opportunities your team had missed, would it be worth paying for?
Which would suit your agency better?
Sample generated locally by Enquiry Recovery (Early Access). No enquiry data was sent to or stored by the operator at any point. Figures marked "estimated" are calculated from the fee rates entered by the user, not verified against the agency's actual accounts.
